Primary Duties, Responsibilities, and Requirements:

  • Provide reception duties for office in professional manner
  • Provide administrative support as directed
  • Manage travel arrangements for a number of key employees
  • Prepare and edit correspondence, communications, presentations and other documents
  • Assist in creation of presentations using Microsoft Power Point
  • Arrange and coordinate meetings and events
  • Assist as needed in shipping and receiving of mail and packages
  • Interact with external high profile clients and executives
  • Assist in expense tracking and reconciliation for reimbursement
  • Assistance in site events and incentives (planning, purchasing and coordinating)
  • Answer and manage incoming calls
  • Record, transcribe and distribute meeting notes.
  • Prepare report templates and documents in Microsoft Excel
  • Communicate verbally and in writing to answer external inquiries and provide information
  • Liaise with internal staff at all levels
  • File and retrieve documents or reference materials
  • Manage basic office space and operate office equipment
  • Maintain interface with IT group to solve technical problems or to implement and maintain office systems

Job Requirements

Qualifications:

  • High School Diploma or General Educational Development Degree (GED)
  • Must be at least 18 years old
  • Must have strong interpersonal skills and at least some experience in office management or executive assistant role
  • Experience managing international and domestic travel arrangements preferred
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite, especially Excel and PowerPoint
  • Knowledge of standard office administrative practices and procedures.
  • Innovative, creative and an out of the box thinker.
  • Must possess initiative, ambition and sound judgment skills.
  • Must exhibit high level of presence, professionalism and confidentiality.
  • Must be presentable and punctual at all times
  • Must be detail oriented with ability to be productive under stressful deadlines.
  • Must have strong organizational skills.
  • Must be a team player.
  • Be able to pass pre-employment background check, which may include pre-screenings and drug tests.
  • Must be able to produce documentation verifying eligibility to work in the United States. Pass mandatory background checks which may include pre-screenings, illegal drug tests, and credit checks
  • Must be able to produce documentation verifying eligibility to work in the United States
